Zotero is an open source software which you can use free of charge for reference management on Windows, macOS or Linux operating systems.

Install Zotero

Zotero account and unlimited storage

By default, Zotero stores references and the associated PDFs in a local folder. Optionally, you can set up a free Zotero account to synchronize your references between different devices or work on them collaboratively with others in a group. In addition to the references, the corresponding full texts can also be uploaded and synchronized, as long as the online storage space allows.

The University of Mannheim provides its members with unlimited Zotero storage space which can also be used for group libraries. Alternatively, you can sync file attachments in Zotero via WebDAV; see the instructions (PDF, 361 KB). However, this storage cannot be used for group libraries.

In order to use the storage, you must enter your university e-mail address in your account settings. Zotero may request verification of the institutional email address at irregular intervals. We recommend that you enter a second e-mail address in order to continue to have access to your Zotero account and the associated synchronization even if you change universities.

When you leave the university, you can still use Zotero, but your online storage space will then be limited to the free storage tier again. If the storage limit is exceeded in the course of this, the synchronization will be suspended and after 30 days, data that exceeds this quota can also be deleted by Zotero in the online storage. Therefore, make sure that you have downloaded all the data locally as well.

FAQ

  • What do I need to do to use the university's storage space?

    To use the storage space, you need a Zotero account that contains your university email address. This does not have to be your “Primary Address.” 

  • How do I switch to using the university's storage space?

    If you do not yet have a Zotero account, create one at www.zotero.org using your university email address and link it to your Zotero software. If you already have a Zotero account, make sure your university email address is associated with it.

    Open the desktop version of Zotero. Go to “Edit,” then “Preferences,” and then “Sync.” Under “File Synchronization,” you can choose whether and how you want to use synchronization. For example, if you have been using WebDAV synchronization, you can now switch to synchronization with Zotero.

    Then start the synchronization by clicking the icon with the two arrows in the upper right corner. For more information, visit https://www.zotero.org/support/sync.  

  • What should I do if I do NOT want to use the university's storage space?

    If you use Zotero without linking it to an account, you don't need to do anything, since your data is stored only locally. If you haven't added a university email address to your account, the university storage space will not be used either. If you have been using WebDAV synchronization, check your settings to see if it is still enabled; see above.

If you use Zotero, the Zotero Terms of Service apply. The University of Mannheim assumes no responsibility for these terms of use. However, we would like to point out that according to No. 2 you automatically grant the provider and its service providers a license and the right to store, display, process, modify and transmit the documents and content that you upload or store in Zotero. Therefore, make sure that you do not upload any documents or content to which you cannot grant these rights.
